NEXT STEPS FOR ADMITTED IFRoS STUDENT. This page will guide you step by step through everything you need to do before starting your Erasmus Mundus journey.

What Happens Next? – Overview

After accepting your offer, you will go through the following steps:

  1. Confirm your acceptance
  2. Pre-register 
  3. Plan scholarships and finances
  4. Arrange visa, residence permit and insurance
  5. Prepare your arrival and first weeks in IFRoS

   Step 1: Confirm your acceptance

Once you receive your official admission offer, you must formally confirm your acceptance within the indicated deadline.

  Step 2: Pre-register

After confirmation, you will be asked to prepare several documents for the pre-registration at UdG (first mandatory step). Access the pre-registration application form at UdG and fill in all the information requested

Documents required for the pre-registration:

1. Document to support nationality (Passport)

Remember that for non-EU candidates the expiry date must not be before December of the year of finishing the IFRoS studies

For non-EU candidates the expiry date must not be before December of the year of finishing the IFRoS studies. For example, for IFRoS  «Starting year»-«Finishing year» the expiry date has to be minimum December «Finishing year». It is possible to apply with a passport which does not fulfil this condition. However, it is important to apply for the new passport immediately after receiving the acceptance to the programme. In case of the applicants from countries where the application for the new Passport takes longer than one month, it is highly recommended to apply for the new passport in advance.

2. Equivalence of average grades of University studies carried out in foreign institutions.

Ask for documents into the Spanish System from the "Ministerio de Educación, Cultura y Deporte

3. Academic certificates required for the program admission: submit originals and authenticated documents.

Original diploma(s) and academic transcript(s) should ideally be issued in English/Spanish by the corresponding higher education institution. If this is not possible, these documents must be translated into English/Spanish by a certified translator.

Step 3: Plan scholarships and finances

For non-EU students, proof of sufficient financial resources is required for student visa purposes, even if you are awarded an IFRoS Consortium Excellence Grant (tuition fee reduction).

In brief, you may be asked to provide documents showing that you can cover the living costs (minimum 700 € per month). This corresponds to approximately 16,800 € for living costs over the full duration of the programme (2 years).

Accepted documents may include:

  • Bank statements
  • Sponsor letters (parents, institution, government, etc.) Sponsor letters must be duly signed and clearly state the committed amount and confirm that it is allocated to tuition fees, travel and living costs.
  • Grant certificates

If your financial documents are issued in a currency other than euros:

This is particularly important for consular and visa authorities.

Step 4: Arrange visa, insurance and accommodation

VISA

The next step is to apply for a student visa. Please note that the required documents may vary between countries. Below is a general guide to help you prepare:

  • Schedule an Appointment: Book an appointment at the Spanish Consulate or an authorized agency associated with the Consulate. Ensure the appointment is for a student visa.
  • Regular required Documents:
    • National Visa Application Form: Downloadable from the Consulate's website.
    • University Acceptance Letter: The official approval certificate provided by the university.
    • Valid Student Insurance: Ensure it meets Spanish visa requirements.
    • Motivation Letter: Written in Spanish.
    • Explanatory Letter of Financial Resources: Written in Spanish.
    • Accommodation Proof: Provide an explanatory letter or valid hotel reservation.
    • Proof of Payment: Include scholarship documents if applicable.
    • Original and Copies of Academic Documents: Include transcripts, diplomas, or related certificates.
    • Medical Certificate: Confirming your fitness to travel and study abroad.
    • Police Clearance Certificate : A record of good conduct from your home country.

Important Notes

  • Document Authentication:
    • Some documents (e.g., academic certificates, medical certificates, and police clearance certificates) may need to be authenticated (apostilled or legalized) in your home country.
    • Consulate Authentication:
    • You may also need to authenticate these documents at the Spanish Consulate either before or during your visa appointment.
  • Translation:
    • All documents must be translated into Spanish by a certified translator.

Health Insurance

  • All students are required to have comprehensive health insurance during their stay in Spain, covering emergency care, hospitalization, and repatriation. The Consortium will provide this insurance for you, ensuring you meet all mandatory requirements and Spanish visa regulations. You do not need to purchase a separate policy or worry about the arrangements; we will handle the enrollment and provide you with all the coverage details before your arrival.

Housing

Finding accommodation is one of the most important tasks you need to complete when you arrive in Girona. Below are some resources to help you find a place to stay

Make sure to secure your housing as soon as possible to ease the process of applying for the empadronamiento and other formalities.

The empadronamiento is an official document that serves as proof of your valid address in Spain. It is required for many administrative processes and to complete the application for your TIE card.

   Step 5: Prepare your arrival and first weeks in IFRoS

This Starter Kit will guide you through the essential steps to prepare for your studies in Spain and your arrival in Girona, from visa procedures to accommodation, healthcare and academic preparation.

Review the essential resources for the programme, including tutorials on Python, Artificial Intelligence, Machine Learning and Robotics. We also recommend you obtain a laptop with a dedicated GPU for computing tasks.
